1. Overview

At Aivodoc, your data privacy is our top priority. Because our platform acts as your "Second Brain," you entrust us with your personal notes, research, contracts, and sensitive documents. This Data Policy explains specifically how we process, store, and utilize the content of your uploaded files.

2. Document Storage and Processing

When you upload a document (PDF, text file, etc.), we securely store the file using industry-standard encryption both in transit and at rest. To provide AI search capabilities, we process the text of your documents to create vector embeddings. These embeddings are mathematically represented data points that allow our AI to understand the context of your files.

3. AI Model Training

We Do Not Train On Your Data

We have a strict policy regarding your private data: Aivodoc does not use your uploaded documents, queries, or chat history to train our underlying foundational AI models. Your data remains strictly partitioned and is only used to provide answers to you.

4. Third-Party LLM Providers

To generate intelligent responses, we may pass snippets of your documents to third-party Large Language Model (LLM) providers (e.g., OpenAI, Anthropic) via secure APIs. We have strict agreements in place with these providers ensuring that they do not store your data or use it to train their models. Data is processed temporarily in memory to generate your response and is immediately discarded.

5. Data Retention and Deletion

You have full control over your data. If you delete a document from your workspace, both the original file and its associated vector embeddings are permanently deleted from our servers. If you choose to delete your account, all associated documents, embeddings, and chat histories are permanently purged from our active databases.

6. Security Measures

We employ robust security protocols including:

  • End-to-end encryption for data in transit.
  • AES-256 encryption for data at rest.
  • Strict access controls and isolated tenant environments to prevent cross-contamination of data.
